Welcome to Trophy Manager. Your privacy is important to us. This policy explains what personal data we collect, why we collect it, how we keep it safe, and the rights you have regarding your data under global privacy laws, including the European General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA/CPRA).
Our core privacy philosophy remains the same: Your data will in no way be released, sold, or passed on to unauthorized third parties - ever.
1. What Data We Collect & Why
We practice data minimization, meaning we only collect what is strictly necessary to run the game, keep your account secure, and communicate with you.
- Email Addresses: We collect your email address when you register. This is standard personal data used solely to:
- Send you your initial login and password when a new team is created.
- Process password reset requests.
- Provide requested email services from Trophy Manager.
- Send inactivity notices and general game updates.
- IP Addresses & Device IDs (Security Logs): To protect the game from malicious activity, bots, and spam, we temporarily collect your raw IP address and device identifier.
- Obfuscation & Anonymization: We do not track users across the web. Raw IP addresses and device IDs are only retained for a short, strictly necessary period to enforce rate-limiting and anti-abuse systems. After this security window expires, the IP addresses are automatically truncated so they can no longer be linked to you.
- Cookies:Trophy Manager uses essential cookies stored on your device to:
- Remember your selected language.
- Optionally remember your login and password for faster access.
2. Our Legal Basis for Processing (GDPR)
Under the GDPR, we must have a valid legal reason to process your data:
- Contractual Necessity: We process your email address to create your account and provide you with access to Trophy Manager.
- Legitimate Interest: We log raw IP addresses temporarily for network and information security, abuse prevention, and rate-limiting (GDPR Art. 6(1)(f)).
- Consent: We use cookies (other than strictly necessary ones) and send non-essential game updates based on your consent, which you can withdraw at any time.
3. Data Retention
We only keep your personal data for as long as needed to fulfill the purposes outlined above:
- Emails: Retained for as long as your account is active - if your account is inactive or banned it will be deleted in the next season update.
- Security Logs (IPs): Raw IP addresses and connection logs are retained for up to 6 months strictly for detecting multi-accounting, fraud prevention, and game integrity enforcement, after which they are automatically deleted.
4. Data Sharing & Third Parties
We do not sell, rent, or trade your personal data. Your information is kept strictly within Trophy Manager. We only share data with trusted infrastructure providers (such as secure server hosts) who act as Data Processors on our behalf and are bound by strict confidentiality and data protection agreements.
5. Your Rights (GDPR & Global)
Depending on your location, you have the following rights regarding your personal data:
- Right to Access: You can request a copy of the personal data we hold about you.
- Right to Rectification: You can update or correct inaccurate data.
- Right to Erasure ("Right to be Forgotten"): You can ask us to delete your personal data (e.g., by closing your account).
- Right to Restrict or Object: You can object to our processing of your data, particularly processing based on Legitimate Interest.
- Right to Data Portability: You can request your data in a standard, machine-readable format.

This section applies specifically to California residents.
Categories of Personal Information Collected: In the preceding 12 months, we have collected: Identifiers (email address, temporary IP address) and Internet/network activity (essential cookies, game interaction data).
No Sale or Sharing of Personal Information: Trophy Manager does not sell your personal information. We also do not share your personal information for cross-context behavioral advertising. Because we do not sell or share your data, there is no need for you to opt-out.
Your Rights under the CCPA/CPRA:
- Right to Know: You may request details about the categories and specific pieces of personal information we have collected about you over the past 12 months.
- Right to Delete: You have the right to request the deletion of your personal information, subject to certain exceptions (like completing a transaction or security uses).
